Conditions of Participation

General information on participant registration for DOC 2025, May 15th – 17th 2025.

Scope of application
The following general terms and conditions govern the contractual relationship between participants in the events offered (e.g. seminars, courses, etc.) and the organizer, which comes into effect via the organizer's online registration forms.

1. registration and confirmation of registration
Registration shall take place exclusively via the online registration tool provided on the website of the organizer for the aforementioned event.

A binding registration must be made separately for each participant. Please note that we have modernized our registration system for you. When registering for the first time, you create a personal login for the participant management portal (which also remains valid for future events).
In the first step the participant has to create an account, where he/she configures his/her own password. Subsequently, the link received by e-mail must be confirmed in order to activate the customer account.

If you are already registered in the Participant Management Portal (possibly by participating in DOC 2023 or 2024), please use the existing registration data for booking. If you no longer have the password, please use the "Forgotten password" function.
Now you can book the different options in the online registration. After completing the booking process, the registration is binding for the participant. After submitting the online registration, the participant has the option of printing out a registration protocol of the booking process. In addition, after receipt of his online booking, the participant will receive a confirmation of receipt by e-mail right away, which will be generated electronically.
Please take into account that the address provided with your registration will be used for sending all relevant participant documents (reservation confirmation/invoice, sending of participant documents, etc.). A correct registration requires the complete indication of address, telephone number as well as your e-mail address.
Invoicing will continue to be done in writing by mail.

If you have not received an invoice within 3 weeks after registration, please contact the organizer directly by phone or e-mail.

By logging in/registering, the participant confirms that he/she is the user of the system. Furthermore, the participant is obligated to sufficiently protect his account from unauthorized access by third parties. A passing on of the account data is strictly forbidden!

2. Participation fees and payment
The participation fees can be found under the heading "Participation fees" (under Registration). If statutory VAT is payable on the service, the amounts are shown including VAT.
The use of the early bird rates requires that the registration with all required details (incl. payment!) is received by us by 1st of April 2025 at the latest.

Please note that the non-discounted, higher fees are valid from the 2nd of April 2025!

The fees are to be paid directly upon registration via SEPA procedure (only possible for bank transactions within Germany) or credit card (Master Card, Visa). The invoice will be issued, as described above, within 3 weeks after registration.

For the collection of the fees, you grant the organizer a framework mandate for this congress.

Please note that the reissue of invoices is subject to a fee of € 20,- for individual registrations and € 50,- (incl. VAT) for group registrations per invoice. For this reason, we ask you to take this into account when entering your details. If necessary, you can also enter a different billing address.

The participation fees exclusively include attendance at the relevant sessions, courses, etc., of DOC 2025 in NCC Ost at Nürnberg Messe.

3. Cancellation and rebooking by the participant.
Cancellation of the booking for a fee is generally possible until 28th of April 2025. Cancellations must always be made in writing.

Cancellations up to 19th of March 2025 will incur a flat-rate processing fee of € 20 for the entire booking or individual items such as courses.
After this date, from 20th of March 2025 a fee of € 20,- per canceled item, e.g. permanent passes and courses, will be charged.

From 29th of April 2025 onwards, it is no longer possible to cancel - the full amount is due.

If the original participant ID card is already available at the time of withdrawal, it must be returned to MCN by 12th of May 2025. Alternatively, you can send us a photo of the torn ID card by e-mail.

It is not possible to change the entire booking or individual items (e.g. courses to another participant).
In this case, the above cancellation conditions apply.


4. Overlaps
Please check your registration for possible overlaps of courses, seminars, etc. before finalizing your booking. Please note that certification is not possible for overlapping program points or only one program point can be certified. The registered participant is responsible for the selection of courses.

5. Participant passes
Attendance event

Participants will receive a corresponding participant pass for the attendance event by mail approximately 2 weeks before the congress. Please note that your registration and payment must be received at least 2 weeks before the start of the event. If you register later than this, it will not be possible to send you a pass, i.e. the participant pass will be available for you at the conference counter on site.

A permanent pass / day pass (corresponding to the day) for the attendance event includes the streaming ticket (see below).

Streaming Ticket
Digital participants can log in to the online platform with their e-mail address and the personal password they generated themselves when registering for DOC 2025 directly after booking is completed (from about one week before the event) in order to attend the event. It is not necessary to install any software or similar to visit the platform.

6. Participant target groups
The conference contents mainly address physicians from the specialties as well as the associated medical assistant personnel (OAP, nursing, MFA, MTA, etc.) and employees from the administrative and management area. Speakers and chairpersons from all specified thematic contents (such as lawyers, administrative managers, etc.) also count as participants - the same applies to the personnel working at the exhibition stands.
The participant badges are accordingly provided with the academic titles - as far as indicated. In order to enable assignment (in accordance with the German Therapeutic Products Advertising Act - HWG) the participant badges are color-coded as follows:

Medical participants: red
Administrative, legal, management, non-specialist: blue
OAP staff, students: green
Exhibitors, industry: white

In general, the exhibiting companies - as far as applicable - are required to implement the law on advertising in the field of medicine (Heilmittelwerbegesetz HWG) on their own responsibility. Due to the legal situation - Therapeutic Products Advertising Act § 10 - only medical participants and pharmacists may be informed about prescription products at exhibition stands. As a result, we only ask participants with red passes to visit the companies marked in yellow.

7. Realization of the event; changes
General notice

The organizer is liable without limitation only for intent and gross negligence of its legal representatives and vicarious agents.

The liability of the organizer is generally and for whatever legal reason limited to gross negligence and intent, unless a more extensive liability is provided by law.

Subject to the following provisions, the organizer owes the participant the implementation of the booked event within the previously announced time frame.

The event will be prepared and carried out by qualified persons. The organizer assumes no liability for the timeliness, accuracy and completeness of the conference documents and/or the content of the event. Furthermore, the organizer does not guarantee the occurrence of a certain success due to the participation in the event.

Postponement or cancellation of program items
The organizer reserves the right to reschedule events or parts thereof (seminars, courses, symposia, wetlabs, etc.) or to change individual program points. This does not entitle the participant to withdraw from the event. Claims for damages are excluded. The current program of events is available online at www.doc-nuernberg.de.

In the event of an important reason or restrictions due to epidemics etc., in particular if the speaker is unable to attend or if the number of participants is too low, the organizer may cancel the event and terminate the contract extraordinarily. In this case, the mutual performance obligations of the parties shall cease and the participant shall be refunded any fee already paid. Claims for compensation of travel and/or accommodation costs as well as loss of work are excluded, unless these costs have been incurred due to intentional or grossly negligent behavior of the organizer.

Registered participants will be informed immediately of any significant changes in the course of the event as well as of any cancellation of the event.

The current status of the lecturers can be taken from the online publication. This applies until one week before the start of the event. For technical reasons, participants can only be informed of any changes to the speakers that occur after this time to a limited extent or, if necessary, on site.

Furthermore, the organizer is not liable for the presence of announced speakers. In case of cancellation, the participant has no claim for damages of any kind. The organizer will make every effort to provide adequate substitutes.

Course quotas and space allocation
Limited numbers of participants result from the respective available room capacities of the assigned halls/rooms and hygiene requirements that must be taken into account.
Despite the greatest planning efforts, full occupancy of the individual event sections, which can be attended with permanent or day passes, cannot be ruled out. A legal claim to participation or a claim for reduction of participation fees as well as further assertion of claims is excluded.

Note punctual attendance
In addition, we would like to point out the punctual start especially of the wetlabs/drylabs. If the participant is not in the corresponding course room within 10 minutes of the start of the course, his or her right to participate in the course will be forfeited. A legal claim to participation or a subsequent admission to the corresponding room or to a reduction or refund of participation fees as well as further assertion of claims is excluded, since punctual presence is a prerequisite for the regulated course sequence (preparation or introduction, etc.) and mediation of the planned course contents with the respective practical exercises.

Exclusion of liability for printed matter
In addition, claims for damages for incorrect, non-existent or incomplete publications in the printed materials or on the congress homepage are excluded.
All rights are reserved by the organizer. The rights of third parties shall be preserved. The organizer is not liable for incorrect or non-existent reproductions and representations. The liability for contents of advertisements and reproduction of original third-party texts lies exclusively with the respective advertisers or authors. The claim for damages is excluded. Place of performance and jurisdiction for both parties is Nuremberg.

8. Security and infection protection measures (e.g. SARS-COVID 19).
The organizer shall implement the prescribed infection protection measures as well as the safety requirements of the respective venue in cooperation with the operator/landlord in the premises used by the congress. This may result in changes, limitations or cancellation of individual program items, even at short notice. The instructions of the organizer's staff and the operator/landlord must be followed in all cases.

In individual cases, the organizer is entitled to order measures such as wearing an FFP2 mask, distance limits, reducing the number of visitors to exhibition stands and in the halls, keeping lists of names, addresses, etc.

Exhibitors/persons who do not comply with the infection protection regulations will be consistently expelled from the event building!

The participant attends the event at his own risk. The organizer is not liable in case of infection.

9. Data protection
Data collection
By registering, the participant agrees that his/her personal data will be collected and stored in the congress database. This data will be used by the organizer to ensure the services requested by the participant.
By order of public authorities, personal data may also be disclosed to them without the participant's consent.
By registering, the registered participant consents to the organizer using his/her personal data to transmit his/her certification points to the BLÄK via the Electronic Information Distributor (EIV). Please note that for the digital part, tracking of the attended sessions is necessary for the documentation of the participation and the subsequent certification. For the face-to-face congress, attendees will need to scan in outside the session room. Certification on overlapping program sessions is not possible.

10. Applicable law
The contract and all claims resulting from its execution shall be governed by the laws of the Federal Republic of Germany.

11. Force Majeure
"Force Majeure" means the occurrence of any event or circumstance by reason of which it becomes impossible or unreasonably difficult for a party to perform one or more of its obligations under the Contract if and to the extent that such party proves:
(a) that such impediment is beyond its reasonable control; and

(b) that it could not reasonably have been foreseen at the time of entering into the Contract; and

(c) that the effects of the impediment could not reasonably have been avoided or overcome by the affected party. "Force majeure" includes, but is not limited to, natural disasters, war, (partial) business disruption, lockouts, strikes, epidemics or pandemics.

If the organizer justifiably invokes force majeure, the organizer shall be released from its obligation to fulfill its contractual obligations as well as from any liability for damages or other claims for breach of contract as of the occurrence of the impediment. The Organizer shall inform its contractual partners of the force majeure as soon as it becomes aware of it.

12. Liability
The organizer shall be liable without limitation only for intent and gross negligence of its legal representatives and vicarious agents.
In the event of slight negligence, the organizer shall only be liable for the breach of obligations, compliance with which is essential for the achievement of the purpose of the contract (so-called cardinal obligation). A cardinal obligation exists in particular if its fulfillment makes the proper execution of the contract possible in the first place and the participant regularly relies and may rely on the fulfillment of this obligation. In the event of a slightly negligent breach of a cardinal obligation, the liability of the organizer shall be limited to the foreseeable damage typical for the contract.
The above provision shall also apply in favor of employees and vicarious agents of the organizer.
The organizer is not responsible for the contents of abstracts prepared by third parties. There shall be no claims for damages against the organizer for incorrect and incomplete publications prepared by third parties.
Furthermore, there is no claim for damages for faulty and incomplete publications on the homepage.
If the event cannot be held due to epidemics / pandemics or infection control measures, the organizer is not liable for consequential damages such as travel expenses. Claims for damages cannot be asserted.

13. Gender note
For reasons of better readability alone, the simultaneous use of masculine, feminine and other forms of language has been dispensed with. All personal designations apply to all gender forms. This does not imply any discrimination against the other genders, but is to be understood as gender-neutral.

14. Severability clause
Should one of the provisions of these General Terms and Conditions be or become invalid, this shall not affect the validity of the remaining provisions. The invalid provision shall be replaced by a valid provision that comes as close as possible to the economic sense and purpose of the invalid provision. The same shall apply in the event of a gap in the contract.

15. Consumer arbitration, information according to § 36 VSBG
The organizer is neither willing nor obliged to participate in dispute resolution proceedings before a consumer arbitration board.

16. withdrawal policy for online registrations

Right of withdrawal for consumers
In the event that the participant is a consumer as defined by § 13 BGB (German Civil Code), the following shall apply:
You have the right to revoke this contract within 14 days without giving any reason. The revocation period is 14 days from the day of the conclusion of the contract. To exercise your right of revocation, you must notify us,

by means of a clear declaration (e.g. a letter sent by mail, fax or e-mail) about your decision to revoke this contract.
To comply with the revocation period, it is sufficient that you send the notification of the exercise of the right of revocation before the expiry of the revocation period.

Consequences of the revocation
If you revoke this contract, the organizer shall reimburse you all payments we have received from you, including delivery costs, without undue delay and at the latest within 14 days from the day on which we received the notification of your revocation of this contract. For this repayment, we will use the same means of payment that you used for the original transaction, unless expressly agreed otherwise with you; in no case will you be charged any fees because of this repayment. If you have requested that the services begin during the revocation period, you shall pay us a reasonable amount corresponding to the proportion of the services already provided up to the time you notify us of the exercise of the right of revocation with respect to this contract compared to the total scope of the services provided for in the contract.
